Administrative Support
📍南昌
•Together with the Head of Administration based at Nanchang University be responsible for the day-to-day administration of QM Joint Programme in Nanchang.
•Undertake support and organization duties for QM staff in Nanchang (e.g. liaison with NCU regarding teaching rooms, teaching materials, IT facilities, communicating with students, etc.).
•Work co-operatively with the Nanchang PS team and provide cover and support where needed.
•Respond constructively and in a timely manner to all reasonable requests for administrative work from the Head of administration and their deputy. Examples of roles are shown below.
•Provision of administrative support for QM staff in Nanchang (this includes dealing with timetabling queries, assist with provision of teaching materials and provide IT support, help with translations, scanning, photocopying).
•Handle printing, scanning, and uploading examination paper and coursework to designated systems accurately and on time.
•Assist the Nanchang based Head of Administration with all aspects of new student enrolment.
•Perform routine and repetitive tasks with patience, carefulness and consistent high accuracy.
•Take minutes/records of meetings when required.
•Assist with the preparation of the summer school in London and come to London to support this event as appropriate.
•Deputise for the Head of Administration as required and work closely with the Head of Administration and liaise with the NCU Joint Programme administrators at QM in London and respond to requests for information and assistance.
•Oversee fixed asset managment, label new assets, maintain accurate asset and equipment logs, and conduct regular inventory counts.
•Manage graduation certificates, receive official certificates, prepare for distribution, and deliver certificates to graduates; collect and distribute student graduation gifts.
Teaching & Learning Support
•Keep abreast of the rules and regulations relating to the Joint Programme.
•Assist with the maintenance of website information on the Joint Programme in both English and Chinese.
•Assist with the maintenance and provision of information and statistical data on students on the programme as required.
•Procure items as required for the running of the programme and support QM staff in acquiring and maintaining a Chinese mobile phone contract.
•Provide coordination and liaison support in relation to the accoun
•Together with the Head of Administration act as the call desk to address administrative enquiries in relation to the programme or provide relevant contact.
•Be the main initial contact for student queries.
•Organise and resolve general administrative issues/queries independently but seek help from the Head of Administration as appropriate, providing advice on procedures and related matters to staff at all levels and to students; recommending alternative sources of information/courses of action if unable to assist.
•Establish and administer an equipment loans system to staff and students for the use of equipment to support project work.
Event Organisations
•Assist with the Joint Programme graduation ceremonies, including student invitations, room & catering bookings, gown hire, AV support.
Other
•To undertake such other reasonable duties as may be required by management of the employer.
•Provide any support as required following the launch of the planned Postgraduate co-operation between Nanchang University and Queen Mary University of London.
•To be familiar with the programme H&S and emergency procedures and act as emergency contact in absence of the Head of Administration.
•Maintain a positive learning attitude, continuously improve professional ability and adapt to different administrative work requirements flexibly.
•Occasionally assist with light lifting and moving of materials such as examination papers, student graduation gifts, office supplies and other related items as needed.
Qualifications:
•Bachelor degree or above
•Prior experience in a company or university in an office environment
•Experience of administration in a university environment is desirable
•Fluent in English
•High-level skills in using IT including Microsoft Office and the Internet
•Ability to plan and deliver work on time
•Excellent inter-personal skills
•Ability to both work independently and to collaborate as part of a team
•Flexible and co-operative approach to colleagues
•Willingness to work flexible hours and to travel
